Ludwick Digital built a unified platform for Medico Pharmaceuticals, a pharma 3PL distributor, bringing customer onboarding, RP compliance, QMS, inventory, warehouse, orders, invoicing, and role-based access into one auditable system.
01 · Context
Medico Pharmaceuticals is a pharmaceutical third-party logistics distributor handling regulated products that require Responsible Person oversight, strong audit trails, and clear traceability across the order-to-invoice lifecycle. Before the build, key workflows were split across spreadsheets and disconnected tools, making live status, compliance evidence, and financial tracking difficult to maintain.
02 · Problem
- RP approvals, compliance checks, inventory, orders, invoicing, and warehouse work were spread across disconnected tools.
- Live operational status was hard to see, making day-to-day decisions slower and less informed.
- Audit trails were weak, increasing risk during inspections and internal reviews.
- Staff had to re-key information across systems, adding manual effort and error risk.
- Orders and payments were hard to track, creating gaps between warehouse activity and finance.
- Compliance evidence was fragmented, making it harder to demonstrate GDP-aligned processes.
03 · What we built
- A central platform consolidating customer onboarding, RP compliance, QMS, inventory, warehouse, orders, invoices, and purchase orders.
- RP compliance workflows to support Responsible Person sign-off and traceability across regulated processes.
- QMS features to support documented processes, approvals, and audit-readiness.
- Inventory and warehouse management with a dashboard view of stock and operational activity.
- Order-to-invoice workflows linking customer orders, fulfilment, invoicing, and purchase orders.
- Role-based access to separate duties and protect sensitive compliance and commercial data.
- Notifications to surface key events and approvals across the platform.

The operational problem
Medico Pharmaceuticals was running core 3PL operations across spreadsheets and disconnected tools. RP approvals, compliance checks, inventory, orders, invoicing, and warehouse activity lived in separate places, making it difficult to see live status or produce clear audit evidence. Staff were re-keying information, and orders and payments were hard to track end to end.
What changed
Ludwick Digital built a single platform covering customer onboarding, RP compliance, QMS, inventory, warehouse, orders, invoices, purchase orders, notifications, and role-based access. The system brings regulated workflows and commercial workflows together, with dashboard views for inventory, an RP compliance centre, and structured order workflows.
Result
The new platform gave Medico Pharmaceuticals better operational visibility, stronger audit-readiness, and less reliance on spreadsheets. While no approved hard metrics are available yet, the move from fragmented tools to a connected system supports clearer traceability, easier compliance evidence, and more reliable order-to-invoice tracking.
